File Management with One Drive
OneDrive is your private file storage space. It can be access in three ways, On-line, Windows Explorer, and the OneDrive application.
On-line
Go to https://www.office.com/ from any computer.
If you are on a Woodhouse computer your login to the computer will auto login to this web site.
If you are not on a Woodhouse computer you will be required to use your @Woodhouse.com login and password and you will be required to perform the MFA (Multi Factor Authentication) by receiving and entering a text message code in the login screen.
Once logged in go to OneDrive on the left navigation.
Windows Explorer
OneDrive will keep a copy of all your files local on your computer. These files will automatically synchronize with the On-Line version. The On-Line version is the master copy. To access the local copy using Windows Explored click the Explorer icon.
On the left navigation open “OneDrive – Woodhouse.com”
Your file will be under “Documents”. Documents is also the same location ad the “Documents” folder on your computer. For best navigation, do not save files at the root of OneDrive. Always put files in “Documents”.
The “Attachments” is used with email and we will review this in the Outlook documentation.
Missing File?
If you notice a file in Windows Explorer but not in OneDrive, you may not be logged into OneDrive or OneDrive is paused.
Check the status of the OneDrive application and also look for the cloud symbol on your Windows Explorer files.
If the cloud symbol is missing you will need to reconnect to OneDrive.
Click the OneDirve application icon on your System Tray in the bottom right of your screen. Click on the status bar to either start or authenticate.
Opening synced files online
You will notice that for some of those that are assigned the 365 P1/F3 licenses (Online only) that you will NOT be able to open up Excel and Word files that you have saved to your desktop by trying to open them regularly. (Ex. Nothing will happen when double clicking an excel spreadsheet.) You will need to save the file to a location on your OneDrive (Desktop, or Documents) right click the file, and then select “View Online” from the drop-down menu.
OneDrive application
OneDrive has an application install on your computer. It can also be downloaded from the App Store one your smartphone. The icon on your system tray will open the On-Line and Windows Explorer versions of OneDrive.
When you install OneDrive on your smartphone you can access and edit your files mobile. This requires at least an F3 license and is not available for email only users. When you access files mobile your will be required to login using Multi-Factor Authentication. You will receive a text message with a code to enter prior to access the application.
The OneDrive application on a smartphone is the best way to get photos from your phone to your computer. As stated before, do not save files to the root of One drive. Once you open the app select the “Documents” folder.
From inside the Documents folder, you can select an existing folder or create a new folder. To create a new folder, click the “+” in the top right corner
While in your new folder press the “Camera” icon to take a photo. You can swipe to select “Document, Whiteboard, Business Card, or Photo”. OneDrive will automatically format the document based on your selection.
You can also use the “+” in the top right corner to upload files and photo already on your smart phone. With this feature you no longer need to connect your phone with a USB cable to get photos to your computer.
